1. Introduction

This Privacy Policy explains how FLOMIZ TECHNO LLP ("Flomiz", "we", "us") collects, uses and protects personal data when you use the Flomiz business management platform (the "Service") and our websites. It is designed to align with the Digital Personal Data Protection Act, 2023 ("DPDP Act") of India.

2. Who Controls Your Data

3. Personal Data We Collect

  • Account data — name, email address, phone number, company name and password (stored as a secure hash) that you provide when registering or being invited to a workspace.
  • Billing data — legal entity name, GSTIN, billing address and payment references such as the transaction and invoice identifiers returned by the gateway. Card numbers, CVV, UPI PINs and net-banking credentials are captured and processed entirely by our PCI-DSS compliant payment gateway; they never reach and are never stored on our servers.
  • Usage data — log data such as IP address, browser type, pages accessed and actions performed, used for security auditing and to improve the Service.
  • Support data — the contents of messages you send to our support channels.

4. How We Use Personal Data

  • to create and administer your account and workspace;
  • to provide the Service, including authentication, notifications and support;
  • to process subscription payments and issue GST invoices;
  • to secure the Service — fraud prevention, abuse detection and audit logging;
  • to communicate service updates, renewal reminders and, with your consent, product news (you can opt out at any time);
  • to comply with legal obligations under Indian law.

We process personal data on the basis of your consent, the performance of our contract with you, and our legitimate uses as permitted under the DPDP Act.

5. Your Business Data

Data you and your users enter into the Service about your own customers, suppliers and employees ("Customer Data") belongs to you. We process Customer Data only on your instructions to operate the Service, and you are responsible for having a lawful basis to store that data. Export tools are available inside the Service.

6. Sharing — We Do Not Sell Data

We do not sell or rent personal data to anyone. We share personal data only with:

  • service providers who help us run the Service (such as cloud hosting, email delivery and payment processing), bound by confidentiality and data-protection obligations;
  • authorities, where disclosure is required by applicable law or a valid legal process;
  • a successor entity in the event of a merger or acquisition, subject to this Policy.

7. Cookies

We use cookies and similar technologies that are necessary to keep you signed in and to remember your preferences. We do not use third-party advertising cookies.

8. Security and Storage

We use industry-standard safeguards including encryption in transit, hashed passwords, role-based access controls and audit logs. Data for our cloud service is stored on servers located in India or with providers offering equivalent protection. No system is completely secure; we will notify you and the relevant authorities of a personal data breach where required by the DPDP Act.

9. Retention

We keep personal data for as long as your account is active and as needed for the purposes above. After account termination, data is retained for a limited wind-down period to allow export and to meet legal (including tax) retention requirements, and is then deleted or anonymised.

10. Your Rights

Under the DPDP Act, you have the right to:

  • access a summary of the personal data we hold about you;
  • correct inaccurate or incomplete personal data;
  • request erasure of personal data that is no longer necessary;
  • withdraw consent where processing is based on consent;
  • nominate another individual to exercise your rights in case of incapacity;
  • raise a grievance with us, and escalate to the Data Protection Board of India if unresolved.

11. Children

The Service is a business tool and is not directed at children. We do not knowingly collect personal data of persons under 18 years of age.

12. Changes to this Policy

We may update this Policy from time to time. Material changes will be notified through the Service or by email before they take effect. The "Last updated" date above reflects the most recent revision.
